Director of Meetings and Conferences

The Consortium for School Networking (CoSN) seeks a creative and independent problem solver to assist with the association’s conference and events for the leading professional membership association for K-12 Chief Technology Officers. The Director is responsible for oversight and coordination of all meetings, including the Annual Conference, regional CTO meetings and other events throughout the year.  Duties include organizing, planning and executing these events.

Primary Responsibilities

Responsible for managing all facets of the events process for CoSN, including contract negotiations, vendor management, expense monitoring and budgeting, record keeping, on-site management, staff and volunteer coordination. 

Position Responsibilities

  • Establishes and implements a conference timeline with clear deadlines and oversees overall execution of the plan.
  • Manages and oversees on-site coordination of Annual Conference, including serving as key liaison with hotel staff, CoSN staff and volunteers. 
  • Manages all external vendor relationships including contract negotiations with hotels, venues, keynote speakers and other vendors. 
  • Coordinates the development of the Call for Presentations, including development of the online application, and manages the review process by volunteer committee.
  • Facilitates all logistics including: accommodations for participants and speakers; event space requirements; food and beverage needs; signage, marketing and printing; attending to any special needs; and security.
  • Oversees communications with concurrent session speakers and ensures overall logistics such as issuing confirmation letters.
  • Oversees all aspects of pre- and post-conference events.  Assists with the International Symposium.
  • Develops, coordinates, and monitors CoSN website content.
  • Oversees on-line registration process.
  • Provides input for the development of  collateral materials, including print and online marketing, onsite program
  • Provides follow up after Conference, including thank you letters, committee debrief, dissemination of attendee evaluations, and review of the final budget.
  • Collaborates with the in-house sponsorship team to ensure that the conference will support requirements outlined in letters of agreement.
  • Based on input from staff, conference committee and attendee evaluations, provides recommendations for improvement of future events. 
  • Works with the Director of Membership and Chapters and state chapter leaders to manage regional meeting logistics including F&B, A/V, and maintenance of conference websites.
  • Creates transparent, accurate and collaborative files.
  • Reviews event bills for accuracy and approves payment.
  • Ensures that websites for all events are up to date with current information.
  • Serves as liaison to the CoSN Conference Committee.
  • Recruits and trains volunteers to work at the Conference and/or other events
  • Oversees planning and logistics for Board of Directors meetings, CTO Forums and Feedback Focus Forums.
  • Works closely with external vendors to support both the annual conference and an annual auction.
  • Other duties as assigned.

Qualifications

  • CMP or CAE preferred.
  • Experience with an Association Management system is preferred.
  • Experience with a simplified Content Management System is preferred.
  • Four Year Degree is required.
  • Minimum five years of experience
  • Proven ability to effectively plan events from beginning to end
  • Proven and exceptional negotiating and conflict-resolution skills
  • Strong organizational skills and ability to prioritize workload
  • Excellent oral and written communication, and interpersonal skills
  • Ability to function well independently and in a professional manner
  • Detail oriented, dependable, mature and flexible, with initiative and capacity to handle a complexity of tasks simultaneously Excellent computer skills, including familiarity of both association management databases, as well as standard office productivity applications (MS Word, Excel, PowerPoint, Outlook, Wordpress)
  • Occasional travel required within the DC metro area and nationally
  • Position collaborates with all staff and reports to the Chief Operating Officer.

Chapter Relations Coordinator

Primary responsibilities:

The Chapter Relations Coordinator is primarily responsible developing and managing relationships with volunteer Chapter Leaders and to assist them in growing and nurturing their Chapters.  The Coordinator will report to the Director of Membership and Chapter Relations. 

Chapter Support

  • Field chapter inquires.
  • Maintains accurate Chapter records and creates monthly membership reports to provide to Chapter Leaders.
  • Keep chapters updated with CoSN work by providing weekly information for CoSN newsletters and personal chapter outreach.
  • Communicate policy, direction, best practices and requirements of CoSN organization to the chapters.
  • Keep all chapter reference manuals current, identifying gaps and opportunities for improvement.
  • Develop professional relationships with existing chapter leaders in order to provide ongoing logistical support for chapter initiatives and events.
  • Maintain chapter information and chapter pages on CoSN website.
  • Identify training needs of individual chapters and facilitate virtual and in-person trainings for chapters throughout the year.
  • Connect chapter leaders with leadership development resources and other chapter leaders to facilitate sharing of best practices.
  • Oversight of print materials such as invitations, and collateral for chapter events.
  • Work with internal CoSN team to help chapters plan CTO Clinics throughout the year.

Chapter and Membership Engagement

  • Manage all aspects of the CoSN Online Community feature to encourage member engagement through the use of topical listserv communications.
  • Provide benchmarks and write monthly reports on Community’s usage.
  • Encourage members to provide sample policies and best practice documents for sharing within the broader member community.
  • Promote all chapter events including, but not limited to, CTO Clinics and CETL ® training and exams through all appropriate channels.
  • Identify potential new geographic areas for chapters and work with the Director of Membership and Chapter Development to provide outreach.
  • Monitor chapter marketing and communications regularly to ensure proper representation of the CoSN brand by local chapters.
  • Coordinate the annual chapter meeting held in conjunction with the CoSN Conference, including developing content, organizing logistics and facilitating the event and extra-curricular activities for chapter members who attend.
  • Work with chapters, and CoSN Staff to help execute membership campaigns to help chapter states increase membership.

Required Qualifications:

  • Four-year accredited bachelor’s degree or equivalent experience.
  • Strong attention to detail.
  • Excellent organizational and time management skills.
  • Good decision-making and problem solving abilities.
  • Exceptional customer service skills.
  • Strong copy writing, editing and proofreading skills.
  • Ability to travel to Annual Conference and other events as needed
  • Solid mastery of Microsoft Office Suite, including Word, Excel, Outlook and Publisher.
  • Effective oral and written communication skills including the ability to interface with internal and external contacts, including sponsors, sales persons and support vendors.
  • Excellent interpersonal skills and demonstrated ability to work in a team as well as work independently.
  • Project management and/or volunteer coordination experience.
  • Ability to manage multiple projects simultaneously.
  • Excellent written and oral communication skills.
  • Strong customer-service orientation.
  • Ability to interact effectively with volunteers, Board members, staff and the general public.

Compensation range is $40-$47k per year based on work experience. Position start date is June 1.
